Organize a 3-day virtual Annual Cycle Meeting, comprising brand meetings, plenary sessions, team building activities, in the BeLux region for one of the top-five pharmaceutical companies within a short 8-week timeframe.

Create an online experience that brings the group together and enhances team spirit and motivation.

THE SOLUTION
  • Take the team on an experience away from theirdaily home-office routine
  • Provide a robust platform, akin to a virtual venue,to handle the busy agenda and make navigation easy
  • Ensure all technical challenges are under the controlof the Beyond team

THE PROCESS
PLATFORM SELECTION AND SETUP
  • Microsoft Teams was selected, in line with the company’s standard platform for online meetings

CREATIVE USER EXPERIENCE DEVELOPMENT
  • An online virtual 3D ‘futuristic’ city was created to take participants on a journey into the future of the brands
  • A 3D city map functioned as the participants’ daily navigation tool, enabling them to login to all online sessions, and serve as the source for all information
  • A gamification element, a virtual battle of the restaurants, was added to the mix to bring the team together
IMPLEMENTATION
THE USER EXPERIENCE
  • Creating a buzz: teaser emails sent to all participants 4 weeks prior to the event
  • Go-live of event platform:
    • Daily updates on presenters, activities and agenda
    • ‘Virtual break networking’ hotspots and meeting rooms, ranging from local tearooms filled with healthy recipes to breath-taking futuristic skyscrapers packed with fun trivia

BRINGING THE TEAM TOGETHER
  • The virtual battle of the restaurant comprised cuisine concept, strategy,
    budget control and, most importantly, the fun factor! A tailor-made webshop supplied all the components required to launch a successful catering establishment
  • A comprehensive manual guided teams of 10 participants through the objectives and steps of the game
  • Teams were judged on their restaurant concept and were awarded points based on their menu choice, financial management and creativity of restaurant design
  • An à la carte meal prepared overnight by a chef was delivered nationwide by courier, just in time so that participants could still enjoy the experience of a shared lunch
OUTCOME

Seamless delivery of an online event, connecting 65 participants with the ease of a live meeting, without any technical issues, and from the comfort of their own homes
